How to import your customer list into PottyOps

This article walks through the recommended way to move your customer data into PottyOps. The same process works for jobsites, units, and rentals.

Step 1: Download the starter template

Open PottyOps and go to Settings → Import Assistant. Click Customers under "Download starter templates." The file is a small CSV with the column headers PottyOps expects and one example row.

Step 2: Fill in the template

Open the template in Excel, Numbers, or Google Sheets. Replace the example row with your first customer. Use the column names exactly as given — PottyOps will auto-map most of them, but exact names make review faster.

Step 3: Upload and review

Back in PottyOps, click Select files to import and choose your completed template. The import assistant will detect the entity type and show you a preview. If PottyOps recognizes the source format (QuickBooks, ServiceCore, etc.) it will say "Looks like: QuickBooks customer export" so you know the columns are being remapped correctly.

Step 4: Commit the clean rows

Fix any rows marked in red, then click Stage files for import and Commit reviewed rows to database. Your customers are now in your workspace.

Common issues

  • Empty file? Make sure the header row and at least one data row are present.
  • Wrong columns? Check the template; the headers must match exactly.
  • Need to roll back? Every commit is auditable and reversible from the import history.
